Refund & Cancellation Policy

1. Scope of Services

This Refund & Cancellation Policy applies to all China inbound travel services arranged by the China Fire, including but not limited to:

  • China tour packages

  • Customized itineraries

  • Hotel accommodations

  • Domestic flights and high-speed rail tickets

  • Ground transportation

  • Tour guide services

  • Attraction tickets

  • Event access

  • Cultural experiences

  • Influencer / media production travel arrangements

  • VIP concierge and security services

By confirming a booking and/or making payment, the client agrees to the terms of this Policy.

2. Deposit & Reservation Policy

To secure hotels, transportation, attraction tickets, guides, and other travel resources within China, advance deposits are generally required.

Unless otherwise specified in writing:

  • Deposits are non-refundable.

  • Bank fees, international wire fees, exchange rate losses, payment gateway fees, and credit card processing fees are non-refundable.

Certain peak-season bookings, luxury hotels, holiday periods, and special event reservations may require full prepayment and may be fully non-refundable once confirmed.

3. Client Cancellation Policy

Standard Individual & Group Tours

30–44 days before arrival 70% refund
15–29 days before arrival 40% refund
7–14 days before arrival 20% refund
Less than 7 days before arrival No refund

Refunds apply only to recoverable amounts after deduction of:

  • third-party supplier penalties

  • ticketing fees

  • administrative fees

  • banking and currency exchange charges

4. Non-Refundable Services

The following services are generally non-refundable once confirmed:

  • Domestic flight tickets

  • China high-speed rail tickets

  • Visa invitation documentation

  • Peak-season hotel reservations

  • Performance tickets

  • Attraction reservations with real-name registration

  • Celebrity / influencer production arrangements

  • Security coordination

  • Customized media events

  • Private charter transportation

  • Yacht or luxury venue bookings

5. China Visa & Entry Responsibility

Clients are solely responsible for:

  • obtaining valid passports

  • securing appropriate China visas (China Fire can assist with tourist visa applications)

  • complying with immigration and customs requirements

Failure to obtain entry permission into China does not qualify for a full refund. Pls consult China Fire on the 10-day transit visa (visa-free) programs. Please refer to the list of 30-day visa-free countries on our FAQ page.

Refunds, if any, will be limited to recoverable third-party costs.

6. Transportation & Schedule Changes

Domestic transportation within China may occasionally be impacted by:

  • weather conditions

  • railway scheduling changes

  • flight delays or cancellations

  • government regulations

  • public events

  • safety controls

  • force majeure situations

The Company reserves the right to:

  • adjust itineraries

  • substitute comparable services

  • modify transportation arrangements

  • alter activity timing when reasonably necessary

Such adjustments shall not automatically constitute grounds for full refunds.

7. Force Majeure

The Company shall not be liable for delays, cancellations, losses, injuries, or additional expenses caused by events beyond reasonable control, including but not limited to:

  • natural disasters

  • pandemics

  • government actions

  • public health restrictions

  • political events

  • transportation disruptions

  • severe weather

  • labor strikes

  • security incidents

In such cases:

  • refunds depend on supplier recoverability

  • alternative arrangements or travel credits may be offered where feasible

8. No-Show Policy

Failure to arrive for scheduled:

  • airport transfers

  • train departures

  • guided tours

  • hotel check-ins

  • attractions

  • activities

without prior written notice shall be considered a “no-show” and is non-refundable.

9. Influencer / Media Production Travel

For influencer campaigns, filming projects, VIP delegations, celebrity-related activities, or sponsored media tours:

Once production planning, security coordination, venue reservations, or filming permits have commenced, related fees become partially or fully non-refundable.

The Company reserves the right to protect confidential itineraries, filming schedules, security operations, and proprietary production arrangements.

10. Refund Processing

Approved refunds are generally processed within:

  • 15–30 business days

International banking timelines may vary depending on:

  • payment providers

  • intermediary banks

  • currency conversion systems

  • country-specific regulations

Refunds shall be issued to the original payment source unless otherwise agreed in writing.

11. Travel Insurance Recommendation

China Fire buys PICC and CPIC travel insurance policies for every traveler for close to $250,000 (payout amounts are ¥1,000,000/policy in RMB and US dollar value subject to currency exchange rate). Clients are encouraged to obtain additional travel insurance covering:

  • medical emergencies

  • cancellations

  • travel interruptions

  • baggage loss

  • force majeure events

  • personal liability

China Fire shall not be responsible for uninsured losses.

12. Limitation of Liability

The Company acts as an intermediary for hotels, airlines, rail operators, attraction operators, and other service providers.

The Company shall not be liable for:

  • acts or omissions of third-party suppliers

  • personal injury

  • loss of property

  • travel delays

  • force majeure disruptions

  • dissatisfaction caused by circumstances beyond reasonable control

13. Governing Law

This Policy shall be governed by and construed in accordance with the laws of the People’s Republic of China unless otherwise specified in a separate written agreement.

Any disputes arising from this Policy shall first be resolved through good-faith negotiation. If unresolved, disputes may be submitted to the competent courts or arbitration institutions designated by the Company.
